care-Log HomeCare is a complete and flexible solution to the administrative needs of the community-based care provider including domiciliary
care, supported or extra care living and nursing agency.
It records both contract and care information for any service user and
schedules appropriate carers to perform visits. care-Log HomeCare contains the functionality to invoice contractors or service users
directly, hold needs and risk assessments, medication information and provide Care Plan management with follow up actions automatically
highlighted to the operator.
The software has been developed from working with care agencies to solve the real administrative, financial, care and personnel issues that they face on a daily basis.
care-Log HomeCare has five main functional sections:
One: Contract and visit rota management
Visit durations and requirements can be defined for each service user together with additional items that should be invoiced. Unlimited sources of funding can be defined against any service user so that contracts can be operated across multiple authorities. Charge rate changes within different areas at different times can be applied automatically and the history of charge rates held. Invoice details can be printed and then automatically passed for debtor management in to any accountancy package that provides an interfacing facility.
Any contracts are referenced on the rota, which is created by pasting shifts from an 'ideal rota', applying a contract directly or by drawing on the individual shift using the graphical tools provided. The rota is then compared with clockings taken from handheld devices or phone logging systems to calculate employee attendance. Alternatively any visit can be manually authorised.
Rotas can be quickly and easily changed to cope with employee absence and service user respite care or hospitalisation. A call log exists so that any notified service user or employee problems can be recorded and held for future reference.
Carer visit schedules and absence and holiday information can be viewed in various formats, e-mailed, sent by SMS and as printed reports.
Four: Care management
The user can define their own risk assessments with scores and record these against any service user together with medication and general care notes. Care Plan 'standards' can be devised and used or individually customised as necessary for each service user. The system comes with an extensive diary function that automatically warns of any date sensitive event that requires attention.
Five: Reporting
The software contains multiple formats of rota print out per day and per week together with an extensive
range of service user, staff, care and financial reports. Additionally care-Log HomeCare provides a report generator that enables
user configured output in
Two: Invoicing
Invoices can be generated individually to each funder for each service user or ‘grouped’ and detailed within a single invoice. ‘One-off’ invoices can be generated for the supply of ad hoc goods/services to any service user to any funder. The ‘standard’ invoice layout has user definable field settings and additional invoice layouts can be created for a nominal charge. The software can be defined with individual invoice layouts that are automatically used for a specific contracting authority.
care-Log HomeCare handles ‘tender’ reporting for any charging rates at any times of day together with an unlimited number of ‘tender’ areas.
Three: Staff records and payroll analysis
The system holds a complete profile for any carer detailing previous employment, training, qualifications and personnel reviews. Electronic documents such as CVs, references, etc can be ‘attached’ to any carer record within the system. In addition, definable induction and training templates ensure that no aspect of the carer's requirements is overlooked. Carer payment rates can be defined per contracting authority if required and automatically applied across definable date ranges to include an uplift for public holiday working if appropriate.
Carers can record their visit attendance by any suitable system - telephone logging, mobile phone tracking, portable handheld - with details being passed to care-Log HomeCare for automatic comparison with the staff schedule and subsequent calculation of hours to be paid at each pay rate for any day. easyLog’s range of visit tracking systems mean that carer attendance can be logged without use of the service users own telephone.
