Attendance recording solutions for multiple staff at a few remote locations
Simple and low-cost unsupervised worker attendance recording
easyLog has developed two simple and inexpensive solutions for monitoring and recording the time spent by several workers at an individual remote site or number of external locations.
These products are ideally suited to organisations that wish to monitor an external workforce that is visiting a small number of premises. An example might be a contract cleaner that uses a mix of full and part time staff in a cleaning contract for a large building. Some of the workers may only be employed for a small number of hours in a week and possibly for just this contract. Accordingly it would not be cost effective to issue such a part time employee with their own handheld device for logging attendance. These solutions therefore use a low cost tag for the employee to record their visit times at an attendance recording terminal located at the site.
easyLog offers a choice of two terminals - one is off-Line and the other provides a realtime (on-Line) attendance record. The key operational differences are:
These two terminals can also be used with our care-Log HomeCare system to provide a complete solution for an extra care or supported living care environment. Click on the link to learn more.
The terminal is in essence a mobile phone and effectively operates as such. On recording any employee's attendance the terminal automatically sends the equivalent of a 'text message' using GPRS to the a-Log software with details of the time, date, location and employee. This means that the terminal requires mains electricity, a SIM card and has an on-going operating cost since it needs a provider contract for the GPRS service.
The software produces summary and detailed reports for each member of staff and individual locations showing the time (and duration) of attendance and proving that the attendance required is being provided.
Further reports include the calculation of total and average attendance times across any period by site and employee. An expected or budgeted period of attendance can be defined for any location and reports will highlight comparisons against this.
Off-line terminal
The terminal is battery powered (2 x AA) and therefore requires no mains electricity. The attendance data is held in the terminal until being downloaded by use of a data transfer tag. This means that someone will need to go to the site on a regular or semi-regular basis to do this (the terminal holds around 1500 records but we would advise collection on at least a two weekly basis). It also means that the visit records won't be seen until they are downloaded into the a-Log software. This is done by inserting the data transfer tag into a reader connected to the PC and running an 'upload data' function.
Although the data will always need to be collected, it can be transfered into the software remotely by downloading it to an off-site PC or laptop and then using an additional utility to send the visit records by e-mail. On receipt the email is automatically read by the a-Log application and consolidated into the central database.
